As a core business unit of the Linux Foundation, the Event Team (composed of 50+ event management, sales, and marketing professionals) manages over 150 global events and conferences each year, ranging from 50 to 20k attendees. We host in-person, virtual, and hybrid events.

Job Description

We’re looking for a highly organized and results-driven Event Planner to join the Linux Foundation Events team. This role supports the production of global events for the CNCF (Cloud Native Computing Foundation) community, ranging from small virtual events to large-scale international tech conferences with 12,000+ attendees. Our events take place across North America, Europe, and Asia (India, Japan, and China) and include deep technical production needs, complex venue management, and dozens of co-located events.

This position reports to a Event Manager and will be responsible for fully owning the successful production and delivery of individual events, and collaborating across the team on shared deliverables for large events.

What You Will Work On

  • Plan, manage, and successfully deliver B2B conferences and events—both independently and as part of a team—including in-person, virtual, and hybrid formats

  • Lead planning and execution of all venue-related logistics, including room setup, AV placement, power drops, internet requirements, and on-site production equipment, collaborating with our production partners, for events up to 12,000+ attendees with 300+ speakers, 20+ breakout rooms and 300+ sponsors.

  • Coordinate all aspects of food and beverage, with an understanding of cultural and dietary considerations, regional cuisines, and volume-based planning for some events

  • Handle event logistics such as: space planning, staging, staff schedules, attendee communications, branding/environmental design, and health/safety protocols for some events

  • Create and maintain timelines, to-do lists, documentation, and planning processes for assigned events

  • Collaborate closely with teammates, vendors, sponsors, speakers, and community members to ensure seamless delivery and no details overlooked

  • Support creation and proofreading of event materials (e.g., website, signage, attendee/sponsor communications)

  • Provide proactive and solution-oriented customer support to attendees and event participants

  • Serve as a collaborative and trusted partner to vendors and internal teams; act as a skilled negotiator with a proven track record of staying on budget

  • Travel domestically and internationally to support on-site execution, up to 30% of the time

Qualifications

Who We Are Looking For

  • 6+ years of B2B event management experience, ideally in the tech or open source space

  • Deep experience managing complex venue logistics for events with 10K+ attendees and multiple simultaneous sessions

  • Demonstrated understanding of AV, production, internet, and power needs for technical conferences in both hotel and convention center environments

  • Knowledge of food and beverage planning at scale, including dietary and cultural sensitivities

  • Extremely detail-oriented, organized, and deadline-driven

  • Effective communicator—concise, clear, and collaborative

  • Comfortable operating in a fast-paced environment with changing priorities and last-minute pivots

  • Service-oriented with a helpful, humble, and team-first approach

  • Strong project management skills with the ability to manage tasks independently while keeping stakeholders aligned

  • High proficiency with Google Workspace, Slack, Zoom, and project/event management tools (e.g., Asana, Cvent)

  • Confident working with digital event platforms and integrations (e.g., Accel Events, Hopin, Zoom, Vimeo, YouTube)

  • Ability to work across time zones and collaborate with a global team and community

  • A degree in events, marketing, communications, business, or a related field

Skills That Are A Plus

  • Experience with Open Source Software and communities

  • Prior experience with Asana and/or Cvent is a plus

  • Experience working in a fully remote environment

  • Proficiency in a second language
