Job Description

Our UHNW client is seeking a highly skilled and experienced  Estate Manager to oversee the daily operations, maintenance, and long-term projects of multiple high-end properties, with a primary focus on their Midtown Manhattan residence. The ideal candidate is technically proficient, detail-oriented, and has a proven track record managing complex household systems, capital improvement projects, and small domestic teams across multiple locations. The role is based in New York City and requires flexibility for travel to Europe, while effectively balancing on-site responsibilities with remote oversight. 

Responsibilities:

  • Manage household inventories, systems manuals, SOPs, and safety/emergency protocols.
  • Manage small domestic staff; train staff to ensure adherence to household protocols and high service standards.
  • Oversee maintenance, repairs, and troubleshooting of all residential systems (HVAC, electrical, plumbing, Crestron, Lutron, etc.).
  • Maintain preventive maintenance schedules and coordinate annual servicing for all home systems and equipment.
  • Coordinating logistics to ensure properties, including vacation rentals, are always guest-ready and properly stocked. 
  • Working closely with the corporate office, oversee capital improvement projects from inception through completion including budgeting, vendor selection, proposals, and timeline management.
  • Working closely with the corporate office, manage vendors and service providers; maintain records, negotiate service agreements, and ensure all vendors are properly insured and cleared with building management.
  • Prepare annual operating and project budgets for each property. 
  • Maintain accurate record of household expenditures, vendor invoices, staff expenses, and vehicle maintenance.
  • Liaising with the corporate office regarding the movement, installation, and care of a significant art collection, including working with conservators, shippers, and specialists as needed. 
  • Travel is required, sometimes on short notice. 
  • Provide hands-on support and coverage when necessary. 

Qualifications: 

  • Minimum 7 years of experience managing high-end private residences for UHNW families. 
  • Bachelor's degree or an equivalent combination of education and experience, in managing high-touch service delivery within luxury private residential environments.
  • Must be based in NYC. 
  • Expert knowledge of residential building systems and home automation platforms.
  • Adept with Excel, inventory tracking systems, cloud-based task platforms, and Microsoft Office Suite.
  • Expertise with fine art, fine furnishings, antiques, and textiles.
  • Excellent written and verbal communication skills. 
  • Physically fit and able to lift/move objects when needed.
  • Must pass a comprehensive background check and provide verifiable references. 
  • In compliance with federal law, all hired employees must verify their identity and eligibility to work in the United States and complete the required employment eligibility verification form upon hire.
  • Must possess valid Passport.

Schedule: Flexible schedule and 24/7 mindset; ability to support evenings, weekends, or holiday needs when required
