Position Summary

Lyons & Pinner is seeking a full-time Administrative Assistant responsible for assisting Department and Project Managers with routine clerical and data entry duties such as answering telephone calls, scheduling appointments, or ordering office supplies. The individual in this role is also responsible for creating work orders in the ERP System and supporting the Estimating Department with preparing bid documents. The ideal candidate will have demonstrated experience multi-tasking multiple, competing priorities in an office setting, preferably in the construction industry.

Essential Duties and Responsibilities:

Include the following. Other duties will likely be assigned.

  • Answer telephones, take messages, and transfer calls to appropriate person;
  • Using various computer applications, create and maintain information in databases;
  • Create work orders in ERP System and forward to Maintenance Department Manager;
  • Enter vendor invoicing into ERP System and work with Purchasing manager or Project manager to get mistakes / issues corrected;
  • Support estimators with preparation of bid documents for public bids;
  • Request performance bonds for public bids;
  • Order office supplies and coordinate repairs for office equipment such as copiers and printers
  • Perform miscellaneous office clerical functions

Position Requirements

  • At least 2 years' experience working in a clerical or administrative capacity, preferably in the construction industry;
  • Demonstrated experience multi-tasking multiple, competing priorities in an office setting;
  • Demonstrated experience entering work orders, vendor information into ERP software;
  • Experience in preparing Bid Documents for Estimating preferred;
  • Proficiency using Microsoft Office Programs;
  • High school diploma or GED required
  • On-Site

Language Skills

Must have the demonstrated ability to effectively communicate in English, cooperate, and collaborate with multiple levels of customer, employees, unions, government agencies, vendors and suppliers, and other contractor organizations.
